Einstein Solutions Ltd. (“Einstein”, “we”, “us” or “our”) respects your privacy. This policy explains how we handle personal information when you use einstein.co.zm, Ask Einstein, our quote enquiry form, or contact us.

Information we collect
We collect information that you choose to provide, including:
- your name, business name and preferred contact details;
- the service you are interested in and your answers about the project;
- your original description, timing and budget information, if supplied;
- messages submitted through Ask Einstein and the recommendations it returns;
- information you send to us by email, phone or WhatsApp; and
- account, order or payment information if you use parts of the website that offer these functions.
Our enquiry tools store a random browser-session identifier and the source page. Visitor IP addresses are not stored in Einstein enquiry records. An IP address may be used briefly for security and rate limiting. Our hosting, security and website providers may also process technical information such as IP address, browser type, device information, logs and cookies to operate and protect the website.
How we use information
We use personal information to:
- respond to enquiries and discuss, prepare or deliver a quotation or project;
- provide and improve Ask Einstein and other website services;
- operate, secure, diagnose and maintain the website;
- communicate with you using the contact method you choose;
- manage customer, supplier and business relationships; and
- meet legal, regulatory and accounting obligations.
Depending on the situation, we process information with your consent, to take steps at your request before entering into a contract, to perform a contract, to meet a legal obligation, or for legitimate interests such as securing our services and responding to genuine business enquiries.
Ask Einstein and automated processing
Ask Einstein may send the message you submit to OpenAI to produce a recommendation or draft project brief. The original message is preserved. The recommendation is intended to help organise your request; it does not make a binding decision about you, set a price or create a contract. You can use the quote enquiry form without using AI.
Please do not submit passwords, payment card details, identity numbers, health information or other sensitive or confidential information through Ask Einstein or the enquiry form.
Who we share information with
Access is limited to authorised Einstein staff and service providers that need the information for the purposes above. These may include website hosting, security, communications, email, analytics and business systems. Where configured, a short enquiry notification is sent to authorised Einstein staff through the WhatsApp Business Platform. Ask Einstein messages may be processed by OpenAI to generate a response.
We may also disclose information where required by law, to protect rights or security, or in connection with a business reorganisation. We do not sell your personal information.
International processing
Some service providers may process information outside Zambia. Where personal information is transferred internationally, we will use the safeguards and approvals required by applicable Zambian data protection law.
How long we keep information
Ask Einstein conversations and quote enquiries are kept for 180 days by default, unless the configured retention period is changed or we need to retain a record for longer to manage an active project, resolve a dispute, protect the service, or meet a legal or accounting obligation. Other records are kept only for as long as reasonably necessary for the purpose for which they were collected.
Cookies and third-party content
The website and its service providers may use essential cookies or similar technologies for functions such as security, sessions, account access and site preferences. Optional analytics, media or marketing features may set additional cookies. Embedded content and links to other websites are governed by those providers’ own privacy policies.
Your rights
Subject to the Data Protection Act, 2021 and other applicable law, you may ask to be informed about our processing, access your personal information, correct inaccurate information, request erasure or restriction, object to certain processing, request data portability, withdraw consent, or object to certain automated processing. Some rights may be limited where we must keep or use information for legal or legitimate reasons.
To make a request, contact info@einstein.co.zm. We may need to verify your identity. You may also contact Zambia’s Data Protection Commission if you believe your data protection rights have not been respected.
Children
Our enquiry services are intended for adults and organisations. We do not knowingly collect a child’s personal information through these services without the consent required by law.
Security
We use reasonable organisational and technical safeguards designed to protect personal information. No internet service is completely secure, so please avoid sending confidential information that is not needed for your enquiry.
Changes to this policy
We may update this policy when our services or legal obligations change. The effective date at the top shows when this version took effect.
